Director Of Operations

JOB TITLE:                       Director of Operations

SALARY RANGE:              71,530 – 86,945

REPORTS TO:                   CEO


POSITION PURPOSE: Responsible for assisting the CEO in overseeing the development and management of Delhi Center’s operations and assisting in establishing and maintaining organizational and fiscal accountability. Serves as the business manager and is responsible for the effective conduct of the business affairs of Delhi Center. Provides direction and day-to-day management of several key functions and programs such as Finance and Budgeting, Human Resources, and Facilities Management.  Participates as a member of the senior management team to formulate and implement policies and procedures to meet the organization’s short- and long-term goals and objectives.


Financial Management and Organizational Accountability

  • Assists with the annual budgeting and planning processes with the CEO and Finance Committee.

  • Ensures effective tracking of income and expenditures and manages cash flow, processing of accounts receivable and payable, money handling and deposits, reconciling monthly financial activity, and generating financial reports.

  • Oversees payroll processing and allocates personnel and other costs to appropriate funding sources.

  • Maintains and gathers documentation needed for all audits and oversees preparation of 990s.

  • Manages invoicing for grants, sponsors, donations, leases, refunds, and other revenue sources.

  • Maintains organizational governance and other critical documents and manages file retention schedules.

  • Maintains office supplies and machines, manages purchases, including use of credit card, online orders, etc.

  • Oversees, maintains, and monitors fundraising accounting and tracking systems, generates and mails thank you letters and tax receipts to all donors in a timely manner, and assists the Board of Directors Fundraising Committee.


Human Resources Management

  • Oversees and maintains proper employee benefits records ensuring cost effective benefits.

  • Maintains organizational insurance policies, including employee worker’s compensation insurance, and Directors and Officers, Accident, General Auto, and Liability insurance.

  • Updates and maintains various employee documents and rosters, including employee regulatory information, attendance, sick time, comp time, overtime, and vacation records.

  • Works with volunteer referral agencies to secure volunteers needed for programs and operations, ensures required documentation for volunteer referral agencies is completed, and maintains volunteer time sheets and other records.

  • Manages the selection, interview, and screening of all volunteer candidates and matches volunteers with tasks that suit their skill sets and serve the needs of the organization.

  • Oversees all center receptionist activities to ensure that the front desk is adequately staffed during hours of operation, trains and supervises receptionist staff and volunteers to ensure quality customer service.

  • Provides new employee/volunteer orientation and exit interviews, collects and maintains documentation related to employees/volunteers leaving, such as resignation letters, collection of passwords, keys, records, files, etc.

  • Updates and maintains in an orderly fashion employee compliance boards, posters, and notices as required by law.


Facilities Management and Operations

  • Manages both day-to-day and strategic planning for facility improvements, maintenance, and repairs and takes lead in emergency policies and procedures, facility security, and emergency readiness.

  • Responsible for procurement and contract management with regards to facilities.

  • Works with IT consultants, utilities, and other facility service providers to ensure sound and effective operations.

  • Plans for and supervises preventative maintenance and repair of equipment and building systems.



  • Bachelor’s degree in business, accounting, finance or related field; Master’s in Business Administration preferred.

  • Minimum of 5 years relevant experience with 3 years plus experience in financial management and bookkeeping.

  • Broad experience with the full range of business functions and systems, including strategic planning, business analysis, information systems, human resources, marketing, and budget development and oversight.

  • Knowledge of bookkeeping concepts and strategies, operations management and implementing best practices.

  • Extensive knowledge and experience with Quickbooks accounts receivable and payable, profit and loss statements, A/R and A/P Aging Reports, Budget tracking, and other Quickbooks applications and reports.

  • Knowledge of and experience with compliance requirements for employee laws and regulations, grant compliance and reporting, and tax and other compliance implications of a non-profit.

  • Experience either as an employee or board member of a nonprofit organization; must be familiar with nonprofit finance and accounting regulations, and non-profit operations and management.

  • Proficiency in computer applications, including excel, word, outlook, and knowledge of database programs and management.

  • A strategic thinker who demonstrates leadership and vision in managing staff, projects, and initiatives.

  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management, Delhi Center’s board of directors, staff, and residents.

  • Strong critical thinking skills, time management skills, and organizational skills and the ability to pay attention to detail while managing multiple projects.

  • Excellent judgment and creative problem-solving skills including negotiation and conflict resolution skills.

  • Demonstrate leadership and vision in managing staff, projects, and initiatives with excellent interpersonal skills and collaborative management style.

  • A commitment to high professional ethical standards in a diverse workplace.

  • Bilingual English-Spanish preferred.

  • Willingness and ability to work outside of normal business hours, including evenings, weekends, and holidays.
